Rather than requiring separate tools for different types of planning and execution, Workboards enable teams to manage high-level objectives and day-to-day activities within a single, connected workspace. Leadership teams can use Workboards to organize strategic themes, establish priorities, assign ownership, and review progress through configurable dashboards and reporting. In the context of program management, Workboards provide a structured way to coordinate multiple related projects and initiatives. Creating a Workboard

Creating a Workboard in Laams Workspace is a simple guided process that helps you quickly set up a collaborative workspace for managing your strategy, program, goal, project, product, or day-to-day tasks.

To begin, navigate to My Dashboard from the main navigation menu. Select Workboards, then click the Add (+) button to launch the Workboard creation wizard.

The first step is to select the Workboard Type that best matches the work you want to manage. Available workboard types include:

  • Strategy – Manage strategic objectives, initiatives, and organizational priorities.
  • Program – Coordinate multiple related projects under a single program.
  • Goal – Track objectives, key results, or other measurable business goals.
  • Project – Plan and execute projects from initiation to completion.
  • Product – Manage product roadmaps, features, releases, and product development activities.
  • Tasks – Organize and track individual or team tasks.

If you select Project as the workboard type, Laams Workspace will prompt you to choose a Project Methodology. The available methodologies are:

  • Kanban – Ideal for continuous work management, visual task tracking, and flexible workflows.
  • Scrum – Designed for Agile teams that work in sprints, manage product backlogs, and conduct iterative development.

After selecting the appropriate workboard type (and methodology, if applicable), you will be prompted to enter the basic information for your Workboard. Complete the following fields:

  • Title – Enter a meaningful and descriptive name for your Workboard.
  • Description – Provide additional information about the purpose, objectives, or scope of the Workboard.
  • Start Date – Specify when the work is expected to begin.
  • End Date – Specify the planned completion date or project end date.

Providing accurate information at this stage helps organize your work and improves reporting, scheduling, and collaboration throughout the lifecycle of the Workboard.

The final step is to add collaborators to your Workboard. You can search for and select your coworkers to grant them access immediately. Team members added during creation will be able to collaborate as soon as the Workboard is created.

If you are not ready to invite collaborators, you can skip this step and add members later from the Workboard's settings or member management page.

Once you have reviewed all the information, click Create Workboard to complete the setup.

After the Workboard has been created successfully, Laams Workspace will automatically redirect you to the newly created Workboard, where you can begin configuring your workflow, creating tasks or work items, assigning team members, defining milestones, and managing your work according to the selected Workboard type and methodology.

Navigating Your Workboard

Each Workboard in Laams Workspace gives you access to the tools, information, and collaboration features needed to manage your work efficiently. The available tabs may vary depending on the type of Workboard you create—such as Strategy, Program, Goal, Project, Product, or Tasks—but every Workboard is fully customizable. You can add, remove, or reorder tabs to match your team's workflow.

The following sections introduce the default tabs commonly found in a Scrum Project Management Workboard.

Overview

The Overview tab is your project's dashboard. It provides a high-level summary of project health, sprint progress, completed work, upcoming milestones, recent activity, team productivity, and key metrics. It's the best place to quickly understand the overall status of your project.

Docs

The Docs tab is your project's knowledge base. Use it to create and organize documentation such as project plans, requirements, meeting notes, technical documentation, design specifications, decision logs, and user guides. Team members can collaborate on documents in real time, ensuring everyone works from a single source of truth.

Members

The Members tab shows everyone who has access to the Workboard. From here, you can invite collaborators, manage roles and permissions, review workloads, and see who is responsible for each task. It helps keep ownership and accountability clear across the project.

Discussions

The Discussions tab keeps project communication in one place. Team members can ask questions, share updates, discuss decisions, mention colleagues, and attach supporting files. Keeping conversations within the Workboard makes it easy to find important discussions when you need them.

Backlog

The Backlog contains all work that has been identified but is not yet scheduled. This includes features, user stories, bugs, improvements, and other planned work. Use the backlog to prioritize tasks, refine requirements, estimate effort, and prepare work for future sprints.

List

The List tab displays tasks in a structured table grouped by categories such as epics, sprints, milestones, or project phases. It provides a detailed view of task information, making it easy to sort, filter, search, edit, and create tasks without leaving the page. This view is ideal for users who prefer managing work in a spreadsheet-like format.

Board

The Board tab provides a visual Kanban workflow where tasks move through stages such as To Do, In Progress, Review, and Done. Simply drag and drop tasks between columns as work progresses. The board makes it easy to monitor progress and identify bottlenecks.

Calendar

The Calendar tab displays tasks according to their due dates. It helps you monitor deadlines, milestones, sprint schedules, and upcoming work, making project planning and scheduling much easier.

Timeline

The Timeline tab shows your project chronologically, helping you understand how work is distributed over days, weeks, or months. It's useful for tracking project phases, planning future work, and spotting scheduling conflicts.

Gantt

The Gantt tab provides a detailed project schedule with task durations, dependencies, milestones, and timelines. It gives project managers a clear view of how work is connected and helps coordinate complex projects with multiple moving parts.

Forms

The Forms tab allows you to create custom forms that automatically generate new tasks when submitted. Forms are ideal for collecting bug reports, feature requests, customer feedback, support requests, approval requests, or any other standardized information from internal or external users.

Reports

The Reports tab provides insights into your project's performance through charts, dashboards, and analytics. Track sprint velocity, task completion, workload distribution, time tracking, burndown progress, and other key metrics to help your team make informed decisions and measure success.

Files

The Files tab serves as your Workboard's central document library. Upload, organize, preview, search, and share project files in one place. Whether files are attached to tasks, discussions, or documents, the Files tab makes them easy to find and ensures your team always has access to the latest versions.

Present

The Present tab automatically transforms your Workboard into a presentation-ready format. It generates professional slides that summarize project objectives, progress, sprint status, completed work, upcoming milestones, risks, and performance metrics. This makes it easy to present project updates to your team, clients, or stakeholders without creating slides manually.

Adding Members

You can easily add and manage members within a Workboard to enable collaboration and ensure the right people have access to the right level of control. To begin, navigate to Members tab, where you can view the current list of participants and manage access.

Adding Members from Your Organization

If the person you want to add is already part of your organization, you can quickly include them in the Workboard without sending an external invitation.

To do this:

  1. Navigate to the Members tab and click on Add Your Coworker.
  2. Use the search or browse list to find the user within your organization directory.
  3. Select the desired user(s) from the list.
  4. Assign an appropriate role (see role descriptions below).
  5. Confirm to add them directly to the Workboard.

Once added, the user will immediately gain access based on the role assigned.

Inviting External Users

You can also collaborate with individuals outside your organization by sending them an invitation.

To invite external members:

  1. Navigate to the Members tab.
  2. Select the option to Invite Member.
  3. Enter their email address.
  4. Assign a role for their access level.
  5. Send the invitation.

The invited user will receive an email invitation and will be able to join the Workboard once they accept it. Their access will be activated based on the role you have assigned.

Workboard Roles and Permissions

When adding a member, you must assign a role that defines their level of access and control within the Workboard. Laams Workspace provides a structured permission system to ensure secure and efficient collaboration:

  • Admin (Full Access) Admins have complete control over the Workboard. They can manage all settings, including members, roles, tabs, tasks, workflows, and configurations. Admins also have the ability to delete or archive the Workboard if necessary.

  • Moderator (Advanced Control) Moderators can manage most aspects of the Workboard, including creating, updating, and deleting tasks, groups, sprints, and other work items. They can also add or manage members but may have limited access to certain administrative settings reserved for Admins.

  • Editor (Standard Contributor) Editors can create, update, and modify tasks and work items within the Workboard. However, they cannot add or remove members and do not have permission to delete core structural resources such as groups or sprints. This role is ideal for active contributors.

  • Commentator (Communication Only) Commentators can participate in discussions and communicate with other team members through the Discussions tab. They cannot create or modify tasks or other Workboard resources, making this role suitable for stakeholders or reviewers.

  • Viewer (Read-Only Access) Viewers have read-only access to the Workboard. They can view tasks, updates, reports, and other content but cannot create, edit, or delete anything. This role is ideal for stakeholders who need visibility without interaction privileges.

By assigning the correct roles to each member, you ensure that your Workboard remains secure, well-structured, and aligned with your team’s collaboration needs. This role-based access system helps maintain control while enabling efficient teamwork across different levels of responsibility.

Understanding Your Project Workflow

This guide walks you through the complete project lifecycle—from planning and documenting requirements to managing sprints, tracking progress, collaborating with your team, and presenting project results.

Step 1: Document Your Project

Begin by opening the Docs tab. This is your project's central knowledge base where you can capture requirements, ideas, meeting notes, specifications, and other important information.

You can create documentation in two ways:

  • Write manually using the built-in rich text editor.
  • Use Tusi AI to help generate project documentation, requirements, user stories, feature descriptions, or other content.

As you build your documentation, organize your requirements using bullet points. When you're ready, simply select the bullet points you want to turn into actionable work and choose Convert to Tasks. The system will automatically create project tasks from each selected item.

This allows you to move seamlessly from planning to execution without recreating work manually.

Step 2: Organize Your Backlog

After converting your documentation into tasks, navigate to the Backlog tab. All of the tasks generated from your documentation will already be available here.

The backlog is where you organize and prioritize your project before development begins.

Here you can:

  • Create Groups (Epics) to organize related work.
  • Assign existing tasks to the appropriate group or epic.
  • Create additional tasks that were not included in your documentation.
  • Edit task details such as descriptions, priorities, due dates, assignees, labels, and estimates.
  • Reorder tasks based on priority.

Keeping your backlog organized makes sprint planning much easier.

Step 3: Plan Your Sprint

Once your backlog is ready, create a new sprint by selecting Create Sprint.

You'll be asked to provide:

  • Sprint Title
  • Sprint Description
  • Sprint Duration

After the sprint has been created, you can populate it in two ways:

  • Move prioritized tasks from the backlog into the sprint.
  • Create new tasks directly within the sprint if additional work is identified.

When your sprint contains all the work your team plans to complete, click Start Sprint to begin execution.

Step 4: Manage Your Work on the Board

Starting a sprint automatically takes you to the Board tab.

The board provides a visual workflow where your team can track the progress of every task throughout the sprint.

As work progresses, update each task by moving it through the available workflow stages, such as:

  • To Do
  • In Progress
  • Review
  • Completed

Keeping task statuses up to date allows everyone on the team to understand the current progress at a glance.

Step 5: Collaborate with Your Team

Communication is essential to every successful project.

Open the Discussions tab whenever you need to:

  • Ask questions
  • Share updates
  • Discuss implementation details
  • Report blockers
  • Collaborate with teammates

Keeping conversations inside the project ensures that important discussions remain connected to the work being completed.

Step 6: Track Project Progress

As tasks are completed, several project views automatically update to help you monitor progress from different perspectives.

Timeline

Use the Timeline tab to view your project's overall schedule and understand how work progresses over time.

Calendar

The Calendar tab displays tasks according to their due dates, making it easy to identify upcoming deadlines and plan your workload.

Gantt Chart

The Gantt Chart provides a comprehensive visualization of your project schedule, task dependencies, milestones, and overall project timeline.

These views help project managers and team members stay aligned throughout the project lifecycle.

Step 7: Review Project Performance

Once your sprint or project reaches completion, visit the Reports tab.

Reports provide valuable insights into your project's performance, including productivity, task completion, sprint progress, workload distribution, and other key metrics that help evaluate your team's effectiveness and identify opportunities for improvement.

Step 8: Present Your Results

When you're ready to share progress with your team, clients, or stakeholders, open the Present tab.

Presentation mode automatically organizes your project information into a professional presentation, allowing you to showcase:

  • Project objectives
  • Completed work
  • Sprint progress
  • Performance metrics
  • Timelines
  • Outstanding tasks
  • Project outcomes

This makes it easy to communicate project status without manually creating presentation slides.

Your Complete Workflow

The recommended workflow for every project is:

Docs → Convert Requirements to Tasks → Backlog → Organize with Epics → Create Sprint → Start Sprint → Board → Discussions → Timeline/Calendar/Gantt → Reports → Present

Following this workflow ensures that every project moves smoothly from initial planning to successful delivery while keeping your entire team aligned every step of the way.

Workflow Automations

The Automation tab helps you eliminate repetitive work by automatically performing actions when specific events occur. Instead of manually updating tasks, assigning work, or sending notifications, you can create automation rules that keep your project moving efficiently.

Automations consist of two parts: a trigger and one or more actions. A trigger is the event that starts the automation, while the actions define what happens after the trigger occurs.

You can build automations in two ways. Use Tusi AI to describe your workflow in plain language, and it will generate the automation for you. Alternatively, you can create automations manually by selecting triggers and actions from the automation builder.

For example, you could tell Tusi AI:

"When a task is marked as Completed, move it to the Archive group and notify the project manager."

Or:

"When a new bug is created with High priority, assign it to the QA Lead, add the 'Urgent' label, and send a notification to the team."

If you prefer to build automations manually, simply choose a trigger, then configure the actions that should follow.

Some common automation workflows include:

  • When a task is created, automatically assign it to a team member and set a due date.
  • When a task is moved to In Progress, notify the assignee and start time tracking.
  • When a task is marked Completed, move it to the Archive group and notify the project manager.
  • When a task becomes overdue, change its priority to High and alert the assignee.
  • When a sprint starts, automatically move all sprint tasks to To Do.
  • When a new discussion is created, notify all project members.
  • When a form is submitted, automatically create a task, assign it to the appropriate team, and add it to the backlog.
  • When all tasks in an epic are completed, automatically mark the epic as complete.

Automations can be as simple or as advanced as your workflow requires. By automating routine processes, your team spends less time on administrative work and more time delivering value.

Workboard Settings:

You can manage and configure your Workboard settings by clicking the ellipsis (⋯) icon located in the top-right corner of the Workboard interface. This menu provides access to a range of administrative and configuration options that allow you to control how your Workboard is structured, displayed, and managed.

From this menu, you can access key Workboard management features, including the ability to:

  • Update Workboard details, such as the title and description, to ensure the information remains accurate and relevant as the project evolves.
  • Customize and manage Workboard tabs, including adding new tabs, removing unused ones, or adjusting the layout to better suit your workflow.
  • View and manage archived tasks, allowing you to access previously completed or temporarily removed work items for reference or restoration.
  • Access the trash section, where deleted tasks are stored before permanent removal, giving you the option to restore items if needed.
  • Configure additional Workboard settings, which may include permissions, visibility controls, and other workspace-level preferences depending on your role and access level.

These settings provide flexibility and control over how your Workboard operates, ensuring that teams can maintain an organized, efficient, and adaptable workspace. By centralizing these management options under the ellipsis menu, Laams Workspace makes it easy to adjust your Workboard without disrupting ongoing work or navigation flow.
